1. Acceptance of terms
These Terms govern your use of the Verio Care Operating System ("the Service"). By creating an account or signing in, you agree to these Terms. If you are using the Service on behalf of a care organisation, you confirm you are authorised to accept these Terms for that organisation. If you do not agree, do not use the Service.
2. Accounts, roles and access
- โข Accounts are created by role and scoped to the least privilege that role needs โ nothing more. Access is limited to the data required for your responsibilities.
- โข Manager, Coordinator, Carer, HR/Payroll and Family accounts each see different information and capabilities. Capabilities are enforced per action, not per page.
- โข You are responsible for keeping your credentials confidential and for activity on your account. Report a lost device or suspected compromise through session and device controls immediately.
- โข Accounts are per-tenant (per care organisation). You may not use credentials from one tenant to access another.
3. Acceptable use
- โข Enter accurate, truthful information. Never fabricate shift, medication, incident or recognition evidence.
- โข Do not attempt to access data, tools or tenants beyond your role's permission.
- โข Do not share accounts, passwords or one-time passcodes.
- โข Do not use the Service to harass, discriminate or view private feedback or HR data you are not authorised to see.
4. Recognition, credits and rewards
- โข Recognition credits, qualification thresholds, wallet limits and quarterly award tiers are set out in the published Recognition Policy and are versioned and effective-dated.
- โข Recognition is designed so that it never encourages hiding incidents, popularity-seeking, working while unwell, unsafe overtime or points over people. Any behaviour contrary to this may disqualify an award.
- โข Quarterly winners are determined after a moderation and appeals window, then locked by an authorised moderator. Annual awards recognise exactly three category winners per year.
- โข Reward wallet drawdown and rollover require two-person approval in line with the published policy.
- โข Vouchers, cash and other reward fulfilment are subject to payroll and tax rules; they are not an employment entitlement.
5. Payment and third-party services
Reward payments and any purchases are processed by third-party providers. Where your wallet includes an actual monetary value, transfers are governed by the provider's terms as well as these Terms. This Service is not a bank and does not hold client money beyond the rewards described in the Recognition Policy.
6. Intellectual property
Verio owns all rights in the Service, its software, content and trademarks. You may not copy, resell or reverse-engineer the Service. Data you enter remains yours; you grant Verio a licence to process it solely to provide the Service.
7. Disclaimer and prototype notice
The Service is provided "as is" and "as available". Care decisions, including medication administration and incident handling, must always be made by qualified people following your organisation's own procedures and applicable law. This environment is a UI prototype for demonstration and testing โ it uses fictional data and does not yet drive real care, medication or payroll decisions.
8. Changes to these Terms
We may update these Terms from time to time. Material changes will be versioned and effective-dated, and you will be told about them when you next sign in. Continued use of the Service after a change takes effect means you accept the updated Terms.
9. Contact
Questions about these Terms can be sent to your organisation's Verio administrator or to sboniface@c2flexicare.co.uk from the sign in page.
